Effective Date: 2 November 2026 / Last Updated: 2 November 2026
01Purpose

Physical items may include:
- Printed patterns
- Paper patterns
- Card patterns

- Slopers / base blocks
- Developed garment samples
- Fit samples

- and other physical development materials.
This Policy should be read together with Pattern Lab India’s Terms & Conditions, Payment, Cancellation & Refund Policy, Privacy Policy, Intellectual Property & Confidentiality Policy, and the applicable quotation or project agreement.
Where project-specific written terms differ from this general Policy, the expressly agreed project terms will apply to the extent legally permissible.
02Legal Entity
Physical shipments will be made or received by:

The customer must use the shipping address specifically provided by Pattern Lab for the relevant project.
Do not send physical materials to any address appearing elsewhere unless Pattern Lab has confirmed that address for receiving project materials.
03What Pattern Lab May Ship
Depending on the agreed project scope, Pattern Lab may physically deliver:
- Printed digital patterns
- Full-scale paper patterns
- Cardboard / hard pattern blocks
- Master patterns
- Graded pattern sets
- Development samples
- Fit samples
- Prototype garments
- Approved samples
- Size-set samples
- Fabric or trim references
- Returned reference garments
- Returned customer patterns
- and other project-specific items.
Not every Pattern Lab project includes physical shipment.
Physical deliverables must be specifically included in the quotation, scope or subsequent written instruction.
04Digital Vs Physical Deliverables
A project may include:
DIGITAL DELIVERY ONLY
- Digital pattern files
- Markers
- Measurement documents
- Technical documents
- Fit comments
- other electronic project files.
OR:
DIGITAL + PHYSICAL DELIVERY
- Digital files
- plus printed pattern
- sample garment
- physical block
- or other agreed physical outputs.
The customer should confirm which physical deliverables are required before project pricing is finalised.
Printing, material, packaging and courier costs may be charged separately unless expressly included in the quotation.
05Custom-Made Nature of Physical Deliverables
Many Pattern Lab physical outputs are produced specifically for a customer’s:
- Style
- Measurements
- Size
- Fit requirement
- Pattern
- Tech Pack
- Fabric
- Construction
- or other project specifications.
Examples include:
- Custom printed patterns
- Custom base blocks
- Custom graded pattern sets
- Development samples
- Fit samples
- Prototype garments.
These are not ordinary off-the-shelf retail products.
Accordingly, once customised production has commenced, cancellation, exchange or return merely because the customer has changed their mind may not be available, subject always to applicable law and any expressly agreed project terms.
Nothing in this Policy limits rights or remedies that cannot legally be excluded.
06Shipping Charges
Unless expressly included in the quotation, shipping and courier charges are additional.
Charges may depend on:
- Destination
- Package dimensions
- Package weight
- Volumetric weight
- Courier
- Delivery speed
- Insurance
- International customs requirements
- and special packaging requirements.
Before final payment or dispatch, Pattern Lab should communicate any applicable compulsory shipping charges where these have not already been included in the commercial quotation.
07Pattern Packaging
Printed patterns require specialised packaging.
Depending on the pattern and customer’s requirement, Pattern Lab may:
- Roll patterns
- Fold patterns
- Use protective sleeves
- Use cardboard tubes
- Use boxes
- Use reinforced envelopes
- or employ another appropriate method.
Customers who require patterns to remain completely unfolded must inform Pattern Lab before shipment.
Such packaging may materially increase volumetric courier cost.
08Folded Vs Rolled Patterns
Where relevant, Pattern Lab should allow the customer to choose:
FOLDED PATTERN
- Lower packaging volume
- May create fold lines
Suitable where folding is operationally acceptable.
ROLLED PATTERN
- Reduced fold creasing
- Requires tube or elongated packaging
May cost more to courier because of dimensions.
HARD BLOCK / CARD PATTERN
- Requires rigid or protective packaging
May have higher shipping cost and weight.
The applicable method may be specified in the quotation or shipping instruction.
09Customer Shipping Details
The customer is responsible for providing complete and accurate:
- Recipient name
- Company
- Street address
- City
- State / province
- Postal code
- Country
- Telephone number
- Email address
- Tax / import information where applicable
- and other information required by the carrier.
Pattern Lab will not be responsible for delays, failed delivery or additional cost arising from incorrect or incomplete customer-supplied address information.
10Address Confirmation
For significant physical shipments, Pattern Lab should confirm the delivery address before dispatch.
Project status used:
SHIPPING ADDRESS CONFIRMED
Once dispatched, changes may not be possible and may incur carrier charges.
11Dispatch Does Not Mean Delivery
“Dispatched” means the shipment has been handed to the applicable courier or logistics provider.
It does not mean that the customer has received the shipment.
Where tracking is available, Pattern Lab should share the applicable tracking details.
12Delivery Estimates
Delivery dates communicated by Pattern Lab or a courier are ordinarily estimates unless expressly guaranteed in writing.
Actual delivery may be affected by:
- Destination
- Courier operations
- Weather
- Customs
- Public holidays
- Transport disruption
- Incorrect addresses
- Recipient availability
- security checks
- governmental restrictions
- and other circumstances.
A requested delivery date is not automatically a guaranteed delivery date.
13Pattern Lab Development Time Vs Courier Time
Our quotations distinguish between:
DEVELOPMENT LEAD TIME
Time required for Pattern Lab to create the deliverable.
and:
TRANSIT TIME
Time required for the courier to transport the package.
Example:
Pattern development completed
↓
Printed
↓
Quality checked
↓
Packed
↓
DISPATCHED
↓
COURIER TRANSIT
↓
DELIVERED
Pattern Lab should avoid promising a customer’s required in-hand date solely on the basis of development completion.
14Shipping Within India
Domestic shipments may be sent through an appropriate courier/logistics provider selected according to:
- Destination
- Package type
- Urgency
- Tracking
- cost
- and serviceability.
The courier selected for one project may differ from another.
Pattern Lab does not guarantee continuous availability of any particular courier company.
15International Shipping
Where Pattern Lab ships physical deliverables outside India, additional requirements may include:
- Commercial documentation
- Courier documentation
- Customs declarations
- HS classification
- declared value
- country-of-origin information
- import procedures
- taxes
- duties
- brokerage
- and local regulatory requirements.
International shipping will be handled according to the applicable project and shipment.
16Import Duties, Taxes and Customs Charges
Unless Pattern Lab expressly agrees otherwise in writing, international recipients are responsible for customs duties, import taxes, brokerage, clearance charges and destination-country governmental fees imposed on receipt of physical goods or materials.
The applicable commercial arrangement should state clearly whether shipping is:
- Courier charged separately
- Customer courier account
- Freight prepaid
- or another agreed arrangement.
Pattern Lab should not describe international shipping as “duty free” unless legally supported for the particular shipment.
17Customs Delays
Pattern Lab cannot control foreign customs authorities.
International shipments may be delayed for:
- Inspection
- classification
- valuation
- documentation
- tax assessment
- restricted-material review
- or other customs procedures.
Pattern Lab will reasonably assist with documentation relating to its shipment where available but cannot guarantee customs-clearance times.
18Customs Information
Customers must provide any importer information reasonably required for destination clearance.
This may include, depending on jurisdiction:
- Tax number
- importer number
- EORI
- business identification
- personal identification where lawfully required
- or customs-authorisation information.
Customers are responsible for ensuring they are legally able to receive the shipment.
19Declared Value
Pattern Lab will declare shipment value and description according to applicable law and legitimate commercial documentation.
Customers must not request Pattern Lab to:
- Falsify invoice values
- misdescribe goods
- misclassify goods
- mark commercial goods as gifts improperly
- or otherwise provide incorrect customs information.
20Customer Courier Account
Where agreed, Pattern Lab may dispatch using the customer’s courier account.
The customer remains responsible for charges levied under that account.
Pattern Lab should receive written courier instructions before dispatch.
21Tracking
Where carrier tracking is available, Pattern Lab may provide:
- Courier name
- Tracking / AWB number
- Dispatch date
- and tracking link or information.
Tracking information is generated by the courier and may occasionally be delayed or inaccurate.
22Customer Responsibility to Track
Once tracking is issued, customers should monitor delivery progress and promptly respond to courier requests.
Failure to respond to:
- Delivery calls
- Customs enquiries
- payment-of-duty requests
- address confirmation
- or collection instructions
may lead to delay or return-to-sender charges.
23Delivery Attempts
Courier companies may limit the number of delivery attempts.
If a shipment cannot be delivered because:
- Recipient is unavailable
- Address is incorrect
- Import charges are unpaid
- Customer refuses delivery
- or required information is not provided,
the carrier may return or dispose of the shipment in accordance with its terms and applicable law.
Any re-shipping cost may be charged to the customer where the failure was not caused by Pattern Lab.
24Delivery Inspection
Customers should inspect physical shipments promptly upon receipt.
Check:
- Package condition
- Number of items
- Pattern identification
- Sample identification
- Visible damage
- and whether the shipment broadly matches the agreed physical deliverables.
25Damaged Package
If a parcel arrives visibly damaged:
Where practicable, photograph the external package before opening.
Take clear photographs of:
- Courier label
- Outer packaging
- Damage
- Internal protective packaging
- and affected deliverable.
Notify Pattern Lab promptly using:
hello@patternlabindia.com
Include:
- Project ID
- AWB / tracking number
- Description of damage
- Photographs
- and affected items.
Please report transit damage within 7 days of delivery, so that a claim can be raised with the carrier in time. This does not limit any rights you have under applicable law.
26Lost Shipments
A shipment may be considered lost only after the applicable carrier’s investigation or other reasonable verification.
If a tracked shipment is materially overdue, the customer should contact Pattern Lab.
Pattern Lab may open an investigation with the courier.
Remedies may depend on:
- Carrier finding
- Shipment insurance
- Type of item
- Replacement feasibility
- Customer ownership
- and applicable law.
27Transit Damage
Where physical deliverables are damaged during transit, Pattern Lab will assess whether:
- Replacement
- Reprinting
- Repair
- reshipment
- refund
- carrier claim
- or another remedy
is appropriate under the circumstances and applicable law.
28Wrong Item
If Pattern Lab ships a materially incorrect physical item, the customer should notify Pattern Lab promptly.
Examples:
- Wrong style pattern
- Wrong size set
- Wrong sample
- Wrong customer’s package
- or materially incorrect physical deliverable.
Pattern Lab will investigate and arrange an appropriate remedy where Pattern Lab is responsible.
29Material Non-Conformity
If a custom physical deliverable materially differs from the agreed specification because of an error attributable to Pattern Lab, the customer should provide details and supporting evidence.
Pattern Lab may, depending on the circumstances:
- Correct
- reprint
- replace
- repair
- reship
- or provide another legally appropriate remedy.
30Change of Mind
Because many physical Pattern Lab deliverables are custom-produced, a customer may not ordinarily return:
- Custom printed patterns
- Custom blocks
- Custom graded pattern sets
- Development samples
- Fit samples
- Prototype samples
- or other customer-specific deliverables
merely because the customer:
- Changed their mind
- changed style direction
- changed fit direction
- changed measurements
- changed fabric
- cancelled the underlying collection
- or no longer requires the project.
This is subject to applicable mandatory law.
31Customer Specification Error
If Pattern Lab produces a physical deliverable correctly according to customer-provided:
- Measurements
- Tech Pack
- Size
- Pattern
- approved revision
- fabric instruction
- or other specification,
and that customer information later proves incorrect, any remake may be chargeable as additional work.
32Pattern Revision After Printing
Once a pattern has been approved and printed, later design or measurement changes may require:
- Pattern revision
- reprinting
- new packaging
- and new courier charges.
These may be charged separately.
33Sample Revision After Completion
A completed sample may require a new sample if the customer subsequently changes:
- Fabric
- Measurements
- Fit
- construction
- design
- trims
- or other major requirements.
Unless included in the project revision scope, additional sampling and shipping may be chargeable.
34Returns
A physical item should not be returned without contacting Pattern Lab first.
Where a return is authorised, Pattern Lab should provide:
- Return address
- Return reference
- Packaging instructions
- Courier responsibility
- and applicable shipping instructions.
Unauthorised returns may create project identification and handling problems.
35Return Shipping Cost
Responsibility for return shipping should depend on the reason for return.
Where return is required because of a verified error attributable to Pattern Lab, Pattern Lab may bear reasonable return/replacement shipping costs where appropriate.
Where Pattern Lab accepts a discretionary return unrelated to its error, the customer may be responsible for return shipping.
36Refunds for Physical Deliverables
Refund treatment is governed by:
- The reason
- degree of customisation
- work already completed
- shipment status
- condition of the physical item
- applicable law
- and the applicable quotation/project terms.
The Payment, Cancellation & Refund Policy should be read together with this Policy.
37Customer-Supplied Materials
Customers may send Pattern Lab physical materials such as:
- Existing patterns
- Reference garments
- Samples
- Fabric
- Trims
- Blocks
- or other development materials.
Before shipment, customers should obtain confirmation from Pattern Lab regarding:
- Delivery address
- Contact person
- Package identification
- Courier
- and any special handling requirements.
38Project Id On Customer Shipments
Every incoming customer package should display, where available:
PATTERN LAB PROJECT / ENQUIRY ID
Example:
PL-DEV-00241
or:
PL-ENQ-00241
This helps Pattern Lab correctly identify incoming materials.
39Incoming Package Format
Please label packages you send us like this:
PATTERN LAB INDIA
PROJECT: Your Pattern Lab project ID
CUSTOMER: Your name / company
STYLE: Your style number
CONTENTS:
REFERENCE GARMENT / PATTERN / FABRIC / OTHER
FROM:
Your company name and address
The customer should not put confidential design details unnecessarily on the outside of the package.
40Customer Shipment Risk
Until customer-supplied materials are received by Pattern Lab, transit remains subject to the courier arrangement selected by the customer unless otherwise agreed.
Customers should use tracked shipping.
For high-value, rare or irreplaceable items, insured shipping is recommended where available.
41Irreplaceable Materials
Customers should inform Pattern Lab before sending:
- Original master patterns
- one-of-a-kind garments
- valuable archive pieces
- unique samples
- or other irreplaceable materials.
Pattern Lab may recommend:
- Digitising first
- photographing
- copying
- insured shipping
- or another risk-control method.
42Physical Pattern Handling
Physical patterns may need to be:
- Unfolded
- flattened
- measured
- traced
- digitised
- marked
- labelled
- temporarily fixed
- or otherwise handled
during legitimate technical work.
Normal handling necessary for the agreed service is not considered damage.
43Fabric Consumption During Sample Development
Where the customer supplies fabric for sampling, the process will consume fabric.
Fabric used for:
- Cutting
- sampling
- testing
- shrinkage assessment
- or approved technical-development work
cannot be returned in its original condition.
The project scope should estimate fabric requirement where relevant.
44Leftover Fabric and Trims
The project agreement should state what happens to unused customer-supplied:
- Fabric
- trims
- labels
- and other materials.
Options may include:
- Return with final shipment
- retain for future revisions
- dispose with customer authorisation
- or another agreed method.
Pattern Lab should not guarantee indefinite storage.
45Storage of Physical Materials
Pattern Lab may retain physical project materials for a reasonable project/retention period.
After completion, customers may be asked to:
- Arrange return
- authorise disposal
- or confirm continued storage if separately offered.
Unless agreed otherwise, Pattern Lab keeps physical project materials for 90 days after project completion.
46Unclaimed Materials
If Pattern Lab repeatedly requests a customer to arrange return/collection of physical materials and the customer does not respond, Pattern Lab may handle such materials according to the project agreement, applicable law and its published retention procedure.
Before disposing of unclaimed materials, Pattern Lab will send at least two written reminders and give 30 days’ notice.
47Sample Ownership
Ownership of samples should be expressly defined in the project quotation.
Our default:
Where the customer has paid all applicable sample-development charges, the customer owns the specific physical sample deliverable subject to any retained Pattern Lab background intellectual property and contractual rights.
The project quotation may set a different rule.
48Pattern Ownership
Shipping a printed pattern does not by itself determine intellectual-property ownership.
Rights in:
- Digital patterns
- printed patterns
- blocks
- grading
- markers
- and derivative development
remain governed by the Intellectual Property & Confidentiality Policy and applicable project agreement.
Physical possession of paper does not automatically equal transfer of all intellectual-property rights.
49Quality Check Before Dispatch
Pattern Lab uses an internal dispatch checklist.
Depending on deliverable:
- Correct customer
- Correct Project ID
- Correct style
- Correct revision
- Correct size
- Correct number of sheets
- Pattern pieces complete
- Labels/notches present where applicable
- Sample identified
- Photographic record where appropriate
- Packaging confirmed
- Shipping address confirmed.
Status:
QC / DISPATCH APPROVED
50Photographic Dispatch Record
For important custom physical shipments, Pattern Lab may maintain photographs of:
- Physical item
- Packing
- Package condition
- Shipping label
- and sealed parcel.
This can help resolve disputes and courier claims.
Such photographs should be handled in accordance with the Privacy and Confidentiality Policies.
51Delivery Confirmation
Where courier tracking confirms delivery, Pattern Lab may record:
DELIVERED
If the customer disputes receipt, Pattern Lab and the courier may investigate:
- Proof of delivery
- recipient information
- delivery photograph
- OTP confirmation
- signature
- or other available carrier evidence.
52Force Majeure
Pattern Lab will not be responsible for shipping delay caused by events beyond reasonable control such as:
- Natural disasters
- extreme weather
- war
- civil disruption
- government restrictions
- transport shutdown
- carrier disruption
- customs emergencies
- labour action
- epidemics
- or similar force-majeure events,
subject to applicable law.
53International Sample Returns
Where a customer sends a garment/sample from another country and expects Pattern Lab to return it internationally, both parties should clarify customs implications before shipment.
International movement of:
- Customer-owned samples
- development samples
- patterns
- or temporary reference goods
may attract import/export documentation requirements.
Pattern Lab should not promise duty-free return treatment without confirming applicable rules.
54International Customer Responsibility
The recipient is responsible for checking whether:
- Samples
- textile articles
- printed patterns
- paper products
- or other physical materials
may legally be imported into the destination country.
Pattern Lab should provide truthful reasonable shipment information but is not responsible for foreign import restrictions unknown to it.
55Shipping Insurance
Where available, shipping insurance may be recommended for high-value or irreplaceable items.
Insurance:
- May carry additional cost
- may require declared value
- may exclude certain goods
- and is governed by carrier/insurer terms.
If insurance is important, it must be agreed before dispatch.
56Customer Collection
Where operationally supported, Pattern Lab may permit:
- Customer pickup
- authorised representative pickup
- or local courier collection.
The person collecting may be required to provide:
- Project reference
- Name
- contact number
- and authorisation.
57Proof of Collection
For valuable physical items, Pattern Lab should maintain acknowledgment of collection.
Example:
PROJECT
ITEM
QUANTITY
COLLECTED BY
DATE
SIGNATURE / DIGITAL CONFIRMATION
58Multiple Shipments
A project may be delivered in stages.
Example:
FIRST SHIPMENT
Fit Sample
SECOND SHIPMENT
Revised Sample
THIRD SHIPMENT
Approved Printed Pattern
Each shipment may have separate courier cost unless otherwise included.
59Shipping Cost Approval
Before dispatch where shipping is chargeable separately, Pattern Lab may request customer approval of the estimated courier cost.
The final carrier charge may vary from initial estimate where based on final package weight/dimensions.
60Invoice / Shipping Documents
Pattern Lab will prepare applicable commercial, tax and shipping documents according to the nature of the shipment and applicable law.
The exact documentation may vary between:
- Domestic India shipments
- International shipments
- commercial goods
- samples
- and customer-owned returned materials.
