Payment, Cancellation & Refund Policy
Effective Date: 2 November 2026 / Last Updated: 2 November 2026
01Purpose
This Policy explains the general rules applicable to payments, Project Initiation Fees, cancellations, refunds, payment failures and related commercial matters for Pattern Lab India.
Project-specific quotations or agreements may contain additional or different terms.
02Prices
All prices will be communicated through:
- Website checkout
- Quotation
- Proposal
- Invoice
- or other written commercial communication.
Prices may be subject to applicable taxes.
03Project Initiation Fee
Pattern Lab may charge a Project Initiation Fee before detailed technical review begins.
Amount through Send Your Tech Pack: ₹1,500 for India-based submissions; US$20, £20 or €20 (as chosen at checkout) for submissions from outside India. International payments are charged in the chosen currency, and any currency-conversion or bank charges applied by the customer’s bank are borne by the customer.
The amount shown at checkout at the time of submission applies, including whether taxes are included.
04Purpose of the Fee
The Project Initiation Fee compensates Pattern Lab for commencing technical assessment of the submitted development requirement.
The assessment may include review of:
- Tech Pack
- Measurements
- Garment category
- Construction
- Fabric
- Existing patterns
- Samples
- Fit comments
- Grading requirement
- Marker requirement
- Digitisation requirement
- Missing information
- and development scope.
05Adjustment Against Project
If you confirm the development project within the validity period stated in our quotation, the Project Initiation Fee is adjusted against that project’s invoice.
The adjustment is not transferable to unrelated projects or third parties unless Pattern Lab agrees otherwise.
06Payment Does Not Confirm Development
Payment of the Project Initiation Fee:
- Starts the technical-review process
but does not automatically:
- Accept the full project
- Confirm the final price
- Confirm the requested timeline
- Guarantee feasibility
- or commence bulk production.
07Project Initiation Fee — Cancellation Before Review
Technical review is treated as started once Pattern Lab tells you, by email or WhatsApp, that review of your submission has begun.
If you cancel before technical review has started, Pattern Lab will refund the full Project Initiation Fee.
08After Technical Review Commences
Once technical review has started, the Project Initiation Fee is non-refundable, because the review service has begun. It can still be adjusted against your project as described in section 5. This does not affect any rights you have under applicable law.
09If Pattern Lab Declines the Project
If Pattern Lab declines your project before technical review has started, we will refund the full Project Initiation Fee.
If we decline after completing the review, we will share our technical assessment with you, and the fee is not refunded.
10Development Project Payments
Once a development project is confirmed, the quotation will specify:
- Total value
- Advance
- Milestone payments
- Balance
- Taxes
- and payment due dates.
11Customer Cancellation After Development Starts
If a customer cancels after development has commenced, Pattern Lab may charge for:
- Work completed
- Time committed
- Materials purchased
- Sample costs
- External services
- Courier costs
- Non-cancellable commitments
- and other amounts incurred for the project.
Any remaining refundable balance will be determined according to the project scope and applicable law.
12Custom Work
Digital patterns, grading, markers, samples, technical corrections and related deliverables are generally created specifically for a customer’s project.
Once customised work has been performed, refunds should not be treated in the same manner as unused standard retail goods.
Nothing in this Policy limits mandatory rights that cannot legally be excluded.
13Payment Failure
If payment fails:
The project should remain PAYMENT PENDING.
Pattern Lab will not treat the transaction as successfully paid until confirmed through the applicable payment system.
Customers should not make repeated payments without checking transaction status where an amount appears to have been debited.
14Duplicate Payment
If Pattern Lab confirms that the same amount was successfully collected more than once for the same payment obligation, the duplicate amount should be refunded or adjusted as appropriate.
15Bank Debit But Payment Failed
Where a customer’s bank account is debited but Pattern Lab’s payment system shows failure or pending status, the transaction may be subject to banking/payment-provider reconciliation.
Pattern Lab will reasonably assist by providing transaction references available to it.
16Refund Method
Approved refunds should ordinarily be made to the original payment method where practicable and legally appropriate.
Pattern Lab should not routinely issue refunds to unrelated third-party accounts.
17Refund Processing
Pattern Lab will initiate approved refunds within the period stated in the applicable customer communication or commercial policy.
Actual credit to the customer’s account may take additional time depending on:
- Bank
- Card network
- UPI provider
- Payment gateway
- or other financial intermediary.
Pattern Lab will initiate approved refunds within 7 working days of approval. The amount usually reaches your account within 5–7 working days after that, depending on your bank or payment provider.
18Payment Processing Fees
Pattern Lab does not deduct payment-gateway or processing charges from refunds of the Project Initiation Fee.
19Taxes
Refunds, credit notes, receipt vouchers and tax adjustments will be handled in accordance with applicable tax requirements.
20International Payments
International payments may involve:
- Foreign-exchange conversion
- Bank charges
- Card charges
- Intermediary fees
- Taxes
- and currency fluctuations.
The applicable invoice/quotation should specify the transaction currency.
21Chargebacks
Customers should contact Pattern Lab first where a payment dispute can reasonably be resolved directly.
Fraudulent or abusive chargebacks may result in suspension of services and recovery action where legally permitted.
Nothing prevents a customer from exercising lawful rights available through their payment provider.
22Refund Request Process
Refund requests should include:
- Name
- Company
- Enquiry / Project ID
- Payment reference
- Amount
- Date
- Reason
- and supporting information.

26Custom Physical Deliverables
CUSTOM-MADE PHYSICAL PRODUCTS
Pattern Lab India may produce customer-specific physical deliverables including printed patterns, pattern blocks, graded pattern sets, development samples, fit samples, prototype garments and other project-specific materials.
Because these items may be created specifically according to a customer’s measurements, style, Tech Pack, pattern or technical instructions, they may not ordinarily be cancelled, returned or exchanged merely because the customer changes their mind after custom production has commenced.
This does not limit any remedy required by applicable law where a physical deliverable is defective, deficient, materially incorrect, damaged due to Pattern Lab’s responsibility, or does not materially conform to the agreed specification.
BEFORE CUSTOM PRODUCTION STARTS
Where a customer requests cancellation before Pattern Lab has commenced printing, sample production, block preparation or other custom physical work, Pattern Lab may determine the refundable amount after deducting any technical work already completed and non-recoverable costs properly incurred.
AFTER CUSTOM PRODUCTION STARTS
Once customised physical production has commenced, costs associated with work performed, printing, material, labour, sample construction, packaging, third-party services and other committed costs may be non-refundable, subject to applicable law.
AFTER DISPATCH
Once the physical deliverable has been dispatched, cancellation may no longer be possible.
If a shipment is refused without a valid defect, non-conformity or other legally recognised basis, applicable:
- Outbound shipping
- return shipping
- customs
- storage
- and handling
may be chargeable to the customer to the extent permitted by law and contract.
WRONG OR DEFECTIVE DELIVERABLE
Where Pattern Lab verifies that it supplied a materially wrong, defective or non-conforming physical deliverable for reasons attributable to Pattern Lab, an appropriate remedy may include:
- Correction
- Reprinting
- Replacement
- Repair
- Reshipment
- Refund
- or another remedy appropriate under the circumstances and applicable law.
CUSTOMER-SUPPLIED ERROR
Where Pattern Lab correctly produces the physical deliverable according to information approved or supplied by the customer, but the information itself was incorrect, a replacement may constitute a new chargeable development or production activity.
Examples include:
- Incorrect measurements supplied
- Incorrect size selected
- Incorrect revision approved
- Incorrect fabric assumptions supplied
- Incorrect shipping address
- or subsequent customer design change.
TRANSIT DAMAGE
Transit-damage claims should be reported promptly with photographs and shipment information.
Pattern Lab will review the issue and, where appropriate, coordinate with the courier to determine the applicable replacement, reshipment, carrier claim or other remedy.
RETURN AUTHORISATION
Customers should contact Pattern Lab before returning any custom physical deliverable.
Any approved return should reference the applicable:
- Customer
- Project ID
- Shipment
- and reason for return.
SHIPPING CHARGES
Original shipping and return-shipping charges will be allocated according to:
- The reason for return
- whether Pattern Lab was responsible
- the applicable project agreement
- and mandatory law.
INTERNATIONAL CUSTOMS COSTS
Duties, taxes, customs charges and brokerage paid to foreign authorities or third parties may not be refundable by Pattern Lab where those amounts were not retained by Pattern Lab.
CUSTOM PHYSICAL DELIVERABLES ARE NOT ORDINARY RETAIL INVENTORY
Pattern Lab’s physical outputs are frequently generated as part of technical-development services and may be unique to one customer’s product.
Accordingly, return and cancellation treatment must consider the customised nature of the deliverable as well as any mandatory legal rights of the customer.
